FOLIOSPECIFICATION / DEMO

FOLIO / SPECIFICATION / PROCUREMENT FIELD NOTE

Source register

Each shortlist record needs its own current reference.

A source register should connect each selected identity with its document or sample reference, issue, date and responsible source. A bundle containing several files is not evidence that every file covers every product. Name the subject of each source and ask the provider what relationship it establishes. Leave any missing correspondence visible.

Retain old references when a source is replaced, with a clear relation to the new issue. A record may remain useful as history while its applicability to the current proposal is unresolved. Separate a source received from a source reviewed; the local demonstration performs neither action. Its noted state records a preparation step only.

Before taking the shortlist into a real request, check which current sources belong to the chosen records and which questions remain open. A changed scope or issue should reopen affected relationships. Use the blank source worksheet to record actual provider information outside the demonstration; the local download contains no uploaded files or approval decision.

Keep these fields together

  • Selected identity

  • Issue/date
  • Subject and scope
  • Responsible source

Use the blank source worksheet to record actual information from the responsible provider. Fields are intentionally empty; the fictional collection does not supply a decision, current document or real project record.
