STRIA / MATERIAL ROOM / PROCUREMENT FIELD NOTE

Revision review

Keep the source attached to the version it described.

A revision record explains what changed, which source described the earlier item and which questions need to be reopened. Record the product identity and the old and proposed issue references. Do not replace an old document without retaining its relation to the original sample. A source can remain useful as history while no longer supporting the current proposal.

The local material room uses fictional issues A and B to demonstrate this relationship. A noted source becomes stale when the issue changes; it is not automatically reviewed again. A buyer can preserve the appearance preference while asking the provider for updated correspondence. This makes the next action visible instead of presenting a green approval based on an outdated note.

Before sending a real request elsewhere, name the difference, relevant specimen, current source and person responsible for reviewing the relation. Separate a proposed revision from a supplied product issue and a reviewed decision. Exporting the local record does not perform that review or send an inquiry. The source and decision fields stay open until the responsible party supplies the information.

Keep these fields together

  • Previous issue
  • Proposed issue
  • Affected specimen/source
  • Difference to review
  • Reviewer and response

Use the blank source worksheet to record actual information from the responsible provider. Fields are intentionally empty; the fictional collection does not supply a decision, current document or real project record.
