Prepare the question
before the decision.

Start with the surface question, then name the specimen. Keep the appearance study, physical sample and proposed supplied product separate. Ask the actual provider which sample and finish reference correspond to the current item; record the reference date, batch scope and the person who can answer for it. Read the edge and packing notes before discussing a shipment because those records may describe a different face, treatment or grouping. If a finish or revision changes, reopen the associated source questions instead of treating a previous note as approval. Use the local room to organize the discussion, then take the blank worksheet to the responsible provider. A visual preference can be recorded without implying material suitability, acceptance of a physical sample or agreement to a supplied finish.

Read the individual records first.

Every dossier gives its identity, visible appearance direction and the question left unresolved. Keep product identity and evidence applicability separate. A concept image is useful for describing a preference; it cannot establish the actual item, physical sample or current source.

Choose the note that matches the relationship under discussion. Do not turn a generic attachment or source note into a complete answer for every record. Retain old sources as history when the proposed issue or context changes, with their relationship to the current proposal visible.

Finish notes — Give an appearance preference a source and a date.

Sample register — Separate an appearance reference from a received specimen.

Batch identity — A specimen does not describe every future batch.

Edge questions — The visible face and its perimeter need separate records.

Packing record — Link the proposed grouping to actual supplied objects.

Revision review — Keep the source attached to the version it described.
