Give the drawing an identity.
A practical intake note for separating a useful source reference from an ambiguous attachment name.
Start with the reference.
Name the document in a way the receiving person can recognize. Record the drawing identifier and revision separately; a date or an email subject is not necessarily a revision. If no drawing exists yet, say so and explain what is available for discussion.
Use the authorized drawing reference. Avoid using a generated image or this dossier as a technical drawing.
Say whether the reference is current, unconfirmed or superseded. The demo records your declaration; it does not validate it.
Record the model reference or explain why a model is not available. Ask how conflicts between files should be resolved.
Add the context the file cannot supply.
Briefly describe the role of the part and the functional interface you want to discuss. Refer to drawing features where possible. Do not replace a missing requirement with a generic tolerance selected from a website.
- Explain the intended assembly relationship without guessing the supplier’s process.
- Point out uncertainties about units, notes or related references for the responsible reviewer.
- Keep appearance references separate from dimensional requirements.
Keep the transfer appropriate.

Make the revision relationship visible.
