A surface record starts with the subject being described: a room, an area or a particular floor reference. Record who supplied the description and when. A photograph can locate the question, but its visible colour and texture do not establish a coating, material specification or suitable care method. Keep those attributes open until their actual sources are available.
Name the proposed machine separately and write the relationship as a question. A buyer’s area note and a provider’s machine document may describe different subjects. Do not treat a general product-family page as an answer for the particular surface. Ask which responsible source covers the proposal and what further information is needed.
The context drawer places these records beside each other for reading. It contains no floor plan, measured area or simulated cleaning route. Retain older descriptions with their dates when the discussion changes, then pass the current question to the responsible reviewer.

Use the blank source worksheet to record actual information from the responsible provider. Fields are intentionally empty; the fictional collection does not supply a decision, current document or real project record.
