Reference A / establish the baseline

Identify the physical sample and supplier drawing used for the first discussion. Record unresolved interface and material questions without calling the sample approved.

Reference B / document the difference

Ask what changed and why. Preserve the previous identification, the new drawing and the supplier’s statement about any cross-revision use.

Review decision / keep the scope

If a real approval is later given, record the exact pair and conditions. A decision on one colour or component does not imply approval of every variation.
