A staged procurement route for a concept kit. Every stage produces something the buyer can review before moving into a commercial commitment.

01 / Define the first request.

Start with the intended adult training application, participant count, component list and known constraints. Add proposed sizes, materials, decoration and packing. Mark open questions clearly. A complete first brief still is not an order, price agreement or promise of production capacity.

02 / Separate development samples.

Use swatches and construction samples to settle material questions. Use a complete fit set to settle adult bib measurements. Use a packed kit to settle organization and access. A single attractive prototype cannot substitute for all three reviews.

Ask the supplier to identify the sample revision and list deviations from the requested specification. Any sample fees, payment terms or delivery timing must be quoted by the real supplier; none is provided in this template.

03 / Approve the controlled reference.

Keep a signed-off measurement chart, material and trim list, artwork proof, packing schedule and retained physical sample together. Record unresolved points and whether they block a production decision. Agree the inspection scope and evidence before discussing the purchase order.

04 / Request a commercial offer.

Only after the scope is clear should the parties confirm unit prices, quantity breaks, MOQ, delivery basis, lead time, payment, inspection and destination documents. The local worksheet is designed to organize that conversation. It neither sends an inquiry nor reserves capacity.
